Regulations of the 6. Heritage Forum of Central Europe


  1. These Regulations define the conditions for participation in the 6. Heritage Forum of Central Europe (hereinafter referred to as “Forum“) on June 16-18, 2021, taking place online, on the streaming platform (hereinafter referred to as the “Platform“) available at: www.heritageforum.mck.krakow.pl 
  2. The Heritage Forum of Central Europe is a cyclical biennial conference organised by the International Cultural Centre in Krakow. The forum is organised under the auspices of the V4 Expert Working Group on Cultural Heritage, which includes the Ministry of Culture of the Czech Republic, the Chancellery of the Prime Minister of Hungary, the Council for Monuments of the Slovak Republic and the International Cultural Centre in Krakow. 
  3. The Forum is organised by the International Cultural Centre with its registered office in Krakow, Rynek Główny 25, 31-008 Krakow, a state-run cultural institution established by the Order of the Minister of Culture No. 11 of May 10, 1991, entered into the register of state cultural institutions at the Ministry of Culture, National Heritage and Sport under the number RiK – 2/92, hereinafter referred to as the “Organiser“. 
  4. The forum is held in English only.
  5. The detailed Forum Programme will be published on the Platform by May 31, 2021. 
  6. The Organiser distinguishes the following categories of Forum participants: a) User – a natural person entitled to free participation in the Forum (hereinafter referred to as the “User”); b) Speaker – a natural person authorised to deliver a lecture on the basis of the submission process organised by the Organiser; c) Keynote speaker – a natural person invited to give a lecture or participate in a discussion panel on the basis of an agreement with the Organiser. 
  7. It is required to accept these Regulations to register, and thus participate in the Forum. Acceptance of these Regulations is tantamount to the consent of the Participants to the processing of their personal data by the Organiser solely for the purposes of the Forum. 


  1. Using the Platform requires access to the Internet and the use of a standard web browser. The Organiser is not responsible for any transmission disruptions resulting from the quality of the participants’ internet connection.
  2. In order to ensure the security of the transmission of data sent via the Platform, the Organiser uses technical and organisational measures appropriate to the level of risks related to the use of the Platform.
  3. The User is obliged to comply with the rules of the Platform, in particular: 
  1. Ensure that the content provided does not disturb the work or overloads the Website or systems used by entities who directly or indirectly provide electronic services;
  2. Ensure that the content does not violate personal rights of third parties, copyrights, intellectual property rights, business secrets or violate the existing legal order or good manners; 
  3. Ensure that the content does not contain computer viruses and other dangerous software such as “worms”, “Trojan horses”, “keyloggers” or other;
  4. Ensure that the content does not contain elements causing unsolicited commercial communication (SPAM) nor any content that is not permitted by law. 


  1. Registration of Forum Users takes place from May 5 to June 18, 2021, only via the registration form available on the event Platform. 
  1. In the registration form, the User shall obligatorily provide the following data: first name and e-mail address; and optionally: last name, name of the institution he/she represents. 
  2. Before submitting the registration form, the User is obliged to read the Regulations and the Information Clause. 
  3. Successful registration is confirmed with a message sent via the Platform to the User’s e-mail address. 
  4. The User’s participation in the Forum is free of charge. 
  1. Registration of Speakers takes place through paper proposals submitted until March 31, 2021. Verification of submitted applications and confirmation of qualifying for the project will be sent by 30 April 2021 by e-mail. An individual agreement will be signed with each of the Speakers. Participation in the Forum as a Speaker is payable in accordance with the cost indicated in the information on the call for papers on the website www.mck.krakow.pl 
  2. Registration of Keynote speakers takes place on the basis of individual agreements with the Organiser. 


  1. After successful registration, the User receives an activation link to the e-mail address provided in the registration form, thanks to which it is possible to log in and use the Platform through which the Forum will be held. 
  2. In order to correctly complete the registration process, the User may also be asked to perform additional Account activation, including via e-mail, in accordance with the information displayed on the streaming platform.
  3. By registering the account, the User declares that the data provided in the registration form are valid and do not infringe the rights of third parties. 
  4. The use of the streaming platform may only take place on the terms and to the extent specified in the Regulations.
  5. Minimum technical requirements enabling the use of the Platform and services:
  1. a device with Internet access;
  2. access to electronic mail;
  3. the latest version of the web browser with cookies and Java Script enabled,
  4. software for reading files in PDF format;
  5. data transmission service provided by the telecommunications operator active and correctly configured on the device used by the User or activated wireless connection. 


  1. The User may withdraw from participation in the Forum without giving any reason. 


  1. Only registered Users, Speakers and Keynote speakers have online access to the Forum.
  2. Forum Users are obliged to respect the rights and personal dignity of others. Users are strictly prohibited from harassing other people. Harassment is understood as: offensive verbal comments regarding gender, gender identity, age, sexual orientation, disability, physical appearance, body size, race, ethnicity, religion, intentional bullying, harassment and unwanted sexual attention. In addition, during the Forum, it is forbidden to use words and symbols commonly considered unlawful, including profanity or expressions that may offend religious feelings or personal beliefs, and indicate discrimination. 


  1. The Organiser is the administrator of personal data obtained for the purpose of registration and access to the Forum. Participants’ data is processed by the Organiser only for this specific purpose. 
  2. The User’s personal data is processed by the Administrator in accordance with applicable law, in particular in accordance with Regulation of the European Parliament and the Council of Europe (EU) 2016/679 of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data and the repeal of Directive 95/46/WE (General Data Protection Regulation) (hereinafter GDPR).

  4. The User’s personal data is provided:
  1. to register as Forum participant via the Registration System,
  2. for marketing purposes related to the organisation of the Forum. 
  1. The User’s personal data at the stage of applying for participation in the Forum will be processed pursuant to Art. 6 sec. 1 lit. a) GDPR (User’s consent). The User’s personal data at the stage of participation in the Forum will be processed on the basis of art. 6 sec. 1 lit. b) of GDPR (data processing is necessary for the performance of a contract to which the User is a party).
  2. The period of personal data processing depends on the purpose for which this processing is carried out:  
  1. in relation to the services provided by the Administrator related to providing the User with access to the Forum, the data will be processed for the period in which these services will be provided and after the completion of their provision, but only if it is allowed or required under applicable law, e.g. processing for purposes such as statistical analysis, billing or for the purpose of pursuing claims. In this case, the data will be processed only for the period necessary to achieve such purposes.
  2. personal data used for marketing purposes will be processed until the User withdraws consent to their processing for this purpose or the purpose of processing expires. 
  1. The User’s personal data will not be processed in an automated manner, except for the process of accepting the User’s application via the Forum Registration System and will not be profiled. 
  2. The user has the following rights: a) the right to access the data, including obtain a copy of the data, b) the right to rectify the data, c) the right to delete the data (in certain situations), d) the right to lodge a complaint with the supervisory body dealing with personal data protection, e) the right to limit the processing of data, f) the right to object to the processing of data for the purposes of direct marketing and profiling, as well as to object to the processing of data on the basis of a legitimate interest due to a special situation. 
  3. To the extent that the User’s data is processed on the basis of consent or as part of the service provided (data is necessary to provide the service), the User can additionally exercise the following rights: a) the right to withdraw consent to the extent to which the data is processed on this basis. Withdrawal of consent does not affect the lawfulness of the processing which was carried out on the basis of consent before its withdrawal, b) the right to transfer personal data, i.e. to receive the User’s personal data from the administrator, in a structured, commonly used machine-readable format. 


  1. The Regulations are available on the website www.heritageforum.mck.krakow.pl
  2. Unless otherwise specified in these Regulations, the contact between the Organiser and the User who sent the Organiser the User registration form will be made by electronic means, on the part of the User via the e-mail address provided during registration, and on the Organiser’s part via the address heritageforum6@mck.krakow.pl or another address in the mck.krakow.pl domain or wydarzeniaonline.pl 
  3. The Organiser has the exclusive right to a binding interpretation of the Regulations.
  4. The Organiser may amend the Regulations.
